1. Introduction

These terms and conditions govern the provision of chauffeur services by Oxford Chauffeurs ("we", "our", "us") to you ("the Client"). By making a booking, you agree to be bound by these terms.

2. Service Terms

Oxford Chauffeurs provides luxury private hire transport services including airport transfers, corporate travel, wedding transport, event chauffeur services, tours, and long-distance journeys.

All services are subject to vehicle and chauffeur availability. We reserve the right to substitute a vehicle of equal or higher specification if the originally requested vehicle becomes unavailable.

3. Booking Conditions

Bookings can be made via our website, email, phone, or WhatsApp. A booking is confirmed when you receive written confirmation from us.

  • All bookings require accurate pickup and drop-off details.
  • Flight numbers must be provided for airport transfers.
  • Special requirements (child seats, wheelchair access, etc.) must be specified at the time of booking.
  • We recommend booking at least 24 hours in advance. Last-minute bookings are subject to availability.

4. Pricing & Payment

All quoted prices are inclusive of VAT where applicable. Airport transfer prices are fixed at the time of booking. Hourly hire and bespoke journeys are quoted in advance.

  • Payment is due upon completion of the journey unless a corporate account has been arranged.
  • We accept major credit/debit cards and bank transfers.
  • Additional charges may apply for waiting time beyond complimentary allowances, route diversions requested by the Client, or additional stops not included in the original booking.

5. Cancellation Policy

  • More than 24 hours before: Free cancellation with full refund.
  • 12-24 hours before: 50% cancellation fee applies.
  • Less than 12 hours before: Full fare is payable.
  • No-show: Full fare is payable.

For wedding bookings, a non-refundable deposit of 25% is required at the time of booking. Cancellation within 14 days of the event incurs the full fare.

6. Waiting Time

The following complimentary waiting time is included:

  • Airport arrivals: 60 minutes from flight landing (domestic) or 90 minutes (international).
  • All other pickups: 15 minutes from the booked time.

After complimentary waiting time, additional charges may apply at our published hourly rate.

7. Client Responsibilities

  • Clients must be ready at the agreed pickup time and location.
  • Clients are responsible for any damage caused to the vehicle during the journey.
  • Smoking (including e-cigarettes) is not permitted in any vehicle.
  • We reserve the right to refuse service to any person who is abusive, threatening, or excessively intoxicated.

8. Liability

Oxford Chauffeurs carries comprehensive insurance for all vehicles and passengers. However, our liability is limited as follows:

  • We are not liable for delays caused by traffic, weather, road closures, or other circumstances beyond our reasonable control.
  • We are not liable for missed flights, connections, or appointments arising from such delays.
  • Our total liability for any claim shall not exceed the value of the booking in question.
  • We are not responsible for items left in vehicles, although we will make reasonable efforts to return lost property.

9. Data Protection

We process your personal data in accordance with our Privacy Policy and applicable data protection legislation including UK GDPR.

10. Complaints

If you are dissatisfied with any aspect of our service, please contact us within 7 days of the journey. We take all complaints seriously and aim to resolve them within 14 working days.

11. Governing Law & Jurisdiction

These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
